Privacy Policy

Meeting-Saathi (“the Service”, “we”, “us”) is a meeting recorder and AI minutes assistant, delivered as a Chrome extension and a companion web application. This policy explains what data we collect, why, how we use it, and the choices you have. Meeting-Saathi is currently invite-only and intended for authorized users of a single organization’s workspace.

Data we collect

We collect only what is needed to record your meetings and produce your minutes:

  • Account & authentication data. When you sign in with Google, we receive your name, email address, and profile image, and we store session tokens so you stay signed in. We do not access your Google contacts, calendar contents, email, or files.
  • Meeting audio. When you explicitly start a recording, we capture the audio of the meeting tab and your microphone (or, for in-person meetings, your microphone only). Audio is uploaded to our servers to be transcribed.
  • Transcripts, minutes & related content. The text transcript, AI-generated minutes (summary, decisions, action items), speaker names, meeting titles, and any notes or documents you add.
  • Speaker names from meeting captions. On Google Meet, if live captions are enabled, we read the on-screen speaker names to label who said what in your transcript. We do not use these captions as the transcript itself.
  • Limited technical data. Basic operational information (e.g. request logs, error diagnostics) needed to run and secure the Service.

How we use your data

  • To record, transcribe, and generate minutes for the meetings you record.
  • To let you search your meetings and ask questions with cited answers.
  • To authenticate you and keep your workspace secure.
  • To operate, maintain, debug, and improve the reliability of the Service.

We do not sell your data, and we do not use your recordings, transcripts, or minutes for advertising or for any purpose unrelated to providing the Service to you.

Recording consent

You are responsible for complying with applicable laws and for obtaining any consent required from other participants before recording a meeting. Recording is never automatic—it starts only when you explicitly click Record. Meeting-Saathi does not join your call as a participant and does not announce itself to others on the call.

AI processing & third-party sub-processors

To transcribe audio and generate minutes, we send the relevant audio and text to trusted third-party AI and infrastructure providers acting as our processors, including Deepgram (speech-to-text transcription), OpenAI (minutes generation and question answering), and Amazon Web Services (secure storage and hosting). These providers process the data solely to perform these functions on our behalf and are contractually restricted from using it for their own purposes.

Data storage & retention

Audio, transcripts, and minutes are stored on secured infrastructure. Audio recordings are retained for a limited period (approximately 7 days) after which they may be automatically deleted; the derived transcript and minutes are retained so your meeting history remains available. You can delete a meeting, its transcript, or your content at any time from the web app, which removes the associated data.

Data security

Data is transmitted over encrypted connections (HTTPS) and access is restricted to your authenticated account. The extension executes no remotely-hosted code—all of its logic is bundled in the published package, and it communicates only with the Meeting-Saathi backend.

Your choices & rights

  • Start and stop recordings entirely at your discretion.
  • Edit or delete transcripts, minutes, and meetings from the web app.
  • Request access to or deletion of your account data by contacting us.
  • Uninstall the extension at any time to stop all local access.

Children

The Service is not directed to children under 13 and we do not knowingly collect their data.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by the “Last updated” date above.
